PIT-37 is the most common annual tax form in Poland.
This year, the annual PIT-37 tax form should be submitted by the 2nd May 2017.
The Ministry of Finance in Poland offers you an easy way to submit your PIT-37 declaration online. It is called PFR – Pre-Filled Tax Return and can be found here: http://www.finanse.mf.gov.pl/pp/wstepnie-wypelnione-zeznanie-podatkowe-pfr
Unfortunately, this form is only available in Polish. Even if you do not speak Polish well, you can try to follow our instructions below and submit the form. However, if you have a trusted person who speaks Polish well, we recommend you to invite them to help you with the process.
In order to choose PIT-37 you need to click on “Pobierz (PRF) PIT-37”
You will be redirected to the next page where you will be asked if you want to use the PFR PIT-37 form. Once you click “TAK” which means “yes”, you will be asked if you want to use the individual ([PFR] indywidualne) or couple declaration ([PFR] malzenskie).
In this scenario, we help you with the easiest form which is the individual one.
Verifying data
Next step is the most important one as you will have to fill in your verifying data to access the PRF form. In some cases for whatever reason where the Ministry does not have you data, eg. the PIT-11 was not generated by your employer, this form may not be available for you. Make sure you put all the data correctly:
1. NIP or PESEL: choose one option here and provide your tax identification number.
2. Nazwisko: you need to include your surname here.
3. Pierwsze imie: you need to include your first name here.
4. Data urodzenia: your date of birth.
5. Kwota przychodu uzyskana w roku 2016 przez podatnika wieksza od 0: Revenue earned in 2016 by a taxpayer greater than 0. You need to check the PIT-11 provided to you by your employer and put the number from box 29 (“Przychod”).
Then you click “Dalej” which means “next”. If you fill in five times wrongly the data, the access will be blocked.
If you are successful with your verifying data, you will get the confirmation of PRF being generated from the data provided to the Tax Administration. You will see your employer data and you can click OK on the pop up window. If you had more than 1 employer in 2016, you need to check out if the data from all of them is provided. Again, you click “dalej” (next).
Now questions on the annexes. Here we go with the most common scenario with no annexes so we mark “NIE”= no.
Actual PIT-37 form
Again our favorite click “dalej”=next. Now you are redirected to the actual PIT-37 form pre-filled for you. You have to click OK on the pop up window which informs you that you have to provide the adequate tax office in your declaration. If you are not sure which one to provide, you can ask your employer for help or go to the closest tax office in your area and confirm if this is the right office for you. The addresses of tax offices in Tricity can be found at the end of the NIP article.
The form is intuitive and it marks what needs to be filled by you. In red you can see, you need to choose the right tax office:
You go by the city and choose your tax office.
All the below data in the just generated online form should be pre-filled with your personal data (just verify if all is correct) and the amounts of taxes (these should be in line with your PIT-11 numbers). In box 128 (DO ZAPLATY, to be paid) or 129 (NADPLATY, to be returned) you are informed what your due amounts with the tax office are. No calculations needed by you here! Hopefully, you get the return :-). If you have to pay additional taxes, you must remember to do it by 2nd May 2017. This can be done by bank transfer or directly at your Tax Office. If you get the return, this will be paid to you to your bank account or by post money transfer or you can receive it in cash directly at the Tax Office.
In part J, we recommend that you include the KRS number of the chosen Public Benefit Organization. If you do not do it, all of your taxes will go to the Polish Government instead of 1% of your taxes going to organizations that help others. The form will auto calculate the 1% once you submit the KRS number in 137 box.
As you can see, so far this is easy, the only obligatory data you need to provide is to choose the right Tax Office. Now we go to the end of the form and we click again “Dalej”=next.
You may be asked to mark again “individual” although it was already marked so click on the dot again and go to the end of the form and click “dalej” the same as above.
Final confirmations
The next window is the confirmation that you have chosen the right form and that you submit your tax return individually. If you are not sure, you need to confirm with your employer or tax advisor to make sure what the best tax scenario for you is and double check if the individual PIT-37 is the right one for you.
We click “Dalej”=next and we are redirected to the window where we need to “sign” our form. We have an option to choose from 3 options: authorization data, qualified virtual signature, signature with Trusted Profile. Both virtual signature and Trusted Profile must be granted to you by corresponding Polish authorities previously which takes time and may be not an option for you.
In this demo, we are using the first option: authorization data which does not require any additional permissions/accesses from the Polish authorities and is available at hand.
Again your personal data will be pre-filled however in order to proceed you’ll need to provide your 2015 revenue in Poland where the 0,00 is the defaulted number. It is available in box 29 in your 2015 PIT-11 form or in box nr 64 in your 2015 PIT-37. If you did not submit the 2015 tax form you need to put 0.
Sending the form
In order to send the form you click on “Wyslij”=send.
Now you’ll be asked to provide your e-mail address.
Just enter the e-mail address twice and click OK.
The next window will be the confirmation that your PIT-37 has been successfully submitted.
You will also get an e-mail confirmation where you MUST click to get the UPO (“Urzedowe Poswiadczenie Odbioru” = Official Receipt Certificate) . This is very important as the UPO is the only confirmation that your PIT-37 has been submitted correctly. If the link does not work, you can use your e-mail and the password provided to you.
A copy just in case
Once you click on the link in your e-mail you will go to the webpage where the UPO will be available on the left side, click on UPO pdf and save the copy on your computer. Even print it to have the double copy just in case.
